Service agreement
A reservation is confirmed when this is signed and the deposit is paid, not before.
The agreement is sent to you. Once we have confirmed the vehicle is free for your date, the office emails the full agreement for electronic signature along with your written quote. The summary below is what it covers; the emailed document is the binding version.
What it covers
- Deposit. Thirty percent reserves the date and the vehicle. Nothing is held until it is paid.
- Balance. Due as set out in your quote. No sales tax, card processing fees, administrative fees, mileage or fuel surcharges are added.
- Gratuity. 18–20% on hourly charters, 20% on airport transfers. Paid in cash to your driver on the day; it is not billed and not included in the quote.
- Refunds. We do not issue refunds. A credit toward another event within the same calendar year may be offered, but it is discretionary and must be agreed with us.
- Identification. Photo ID is required from the person signing.
- Conduct and damages. The signer is responsible for the conduct of the party and for any damage to the vehicle.
- Overtime. Charged at the agreed hourly rate if the event runs past the booked window.
- Prohibited. No smoking. No illegal drugs. Illegal activity ends the event immediately with no refund.
- Vehicle substitution. If your vehicle becomes unavailable we supply a like-for-like vehicle of equal or greater capacity.
- Parking and tolls. Not included.
- Governing law. New York State.
Permits and insurance
Big D's maintains all permits, licences, insurance, operating authority and approvals required by law to provide these services, and holds the highest safety rating issued by NYSDOT.
Your itinerary
Every event requires an itinerary. This is not administrative box-ticking. The Federal Motor Carrier Safety Administration requires CDL drivers to keep an accurate record of duty status, and your itinerary is what that record is built from.
